Her Majesty’s Government of Gibraltar adopts Proactis Invoice Capture to unify the Source-to-Pay process
Proactis, the global spend management company, today announced that Her Majesty’s Government of Gibraltar (HMGoG) has extended its use of Proactis solutions with the adoption of its
Invoice Capture solution, to transform Accounts Payable, automate the invoicing process, improve controls and reduce costs.
HMGoG has been working closely with Proactis to unify and automate the entire Source-to-Pay process across its departments.
As a key part of the project it was identified that a platform that allowed for both paper and electronic invoices to be processed through a single solution was needed. The current invoicing process is dominated by paper and inefficient manual methods. The HMGoG required a way to further automate the process.
Proactis Invoice Capture Software as a Service (SaaS) was selected to help drive the efficient centralised processing of incoming purchase invoices. These will be scanned or, in the case of electronic documents, imported with "intelligent” data capture that will automatically extract key invoice information. Dedicated query desk capabilities will optimise the resolution of non-compliant invoices. Once fully rolled out, Invoice Capture will be used to process circa 70,000 invoices per year, initially in paper and PDF formats.
“We reviewed how our Finance and Procurement teams were performing and identified ways that this could be improved," stated Julian Baldachino, Chief Officer for Services and Innovation at the Government. “We have been successfully using Proactis solutions and rolling out ever-increasing usage of key functionality. This latest step will automate and drive efficiency across our key Source-to-Pay processes, from supplier management, sourcing and contract management through to purchasing and optimising our supplier invoice processing. We are confident that adding the Invoice Capture service will enable us to substantially improve our invoice processing efficiency while reducing processing costs, enabling staff to focus on more value-add projects.”
“We are delighted that the Government is taking advantage of the scalability of the Proactis solutions and the adoption of Invoice Capture is further testimony to the strength of the relationship Proactis has with the Government,” added Ilija Ugrinic, UK Commercial Director of Proactis. “The Invoice Capture proposition is designed specifically to cater for many of the challenges that the Government is experiencing, and we are looking forward to realising together the benefits that improved efficiency and control will bring."
