Catalogue Management

We understand
your challenges

  • No centralised supplier/item catalogue repository leading to duplicate information.
  • Supplier-led classifications that mean any search is driven by the way the supplier wants to sell, rather than the way your organisation works.
  • Inadequate item information that results in uninformed purchases and inability to make comparisons.
  • Paper-based catalogues leading to out-of-date information and multiple incorrect versions.
  • No links to contractual agreements with supplier price-lists.

We have
the solution

Proactis catalogue management solutions provide a highly accessible, well-classified directory of goods and services in a way that makes sense to the accessing organisation.

The categorisation is specified by the buying organisation and can be unified with industry-standard classifications. It presents a compelling and easy-to-access interface which helps the selection process within the organisations spend management system using B2C (online Retail) metaphors.

Streamline the purchasing process and introduce spend control in a helpful way.

What you can do
Catalogue repository

Proactis provides a central directory of items representing goods and services to be procured by the organisation. This can be hosted publicly or privately and may offer suppliers access or not. It offers user-defined categorisation, content-rich item records, extensive multi-parameter search facility and visual comparison of user-specified similar items to support informed buying decisions.

Catalogue maintenance and publishing

Individual items can be managed and maintained within the catalogue, and there is also a simple upload facility that allows buyers to rapidly upload supplier catalogue files with minimum effort. Offline catalogue maintenance allows managers to maintain separate copies of catalogues prior to publishing.

Supplier self-service catalogue maintenance

Suppliers are often prepared to maintain their catalogue on the buyer’s system, facilitating access to the latest information and pricing. This function is secured by the supplier, and any changes are subject to buyer approval before the new catalogue goes “live”. The user interface for the supplier is simple and compelling and the supplier requires minimal introduction to the system before commencing use.

Integrations

Proactis Catalogue Management links to the Proactis Contracts Repository to allow contracted pricing agreements to be managed as catalogue items, to bring more spend under management. It can also be integrated into Proactis Purchase-to-Pay or existing P2P systems in multiple ways: Punch-in provides a simplified way for the P2P system to dynamically access up-to-date catalogues; Catalogue export provides an easy way to transfer catalogues for import to systems not capable of punch-out.

Eliminate the need to manually manage multiple catalogues and thousands of line items

With Proactis you
can achieve:

  • Streamlined purchasing process and seamlessly introduce spend control.
  • An electronic collection of items to purchase, which represents the goods and services bought in the normal course of business.
  • Enhanced search and retrieval experience and deliver the same consistent, complete and correct information to every requester.
  • Reduced administration cost and effort with supplier self-service catalogue maintenance.
