PROACTIS in the Education Sector

PROACTIS Group has delivered successful Spend Control & eProcurement solutions to many customers in the Education sector, including leading Universities and Further Education Colleges.

The PROACTIS suite of applications has been deployed to address a range of business challenges in this sector, including:-

  • Streamlining the purchase-to-pay process to control expenditure and cut admin overheads
  • Driving efficiencies into the accounts payable function
  • Improved transparency of the use of educational or research grants
  • Cost-reduction initiatives through sourcing improvements
  • Reducing contract risk by establishing a central supplier contract register
  • Improving accountability for departmental budgets and aiding with the budget tracking process
  • Streamlining inter-departmental trading

The University of Birmingham’s Assistant Director of Finance, Tim Fuery, explains their decision to implement PROACTIS P2P to enhance the University’s financial management platform:

“PROACTIS P2P from PROACTIS Group stood out as the only solution capable of delivering the level of control we needed without being too complex to extend to such a large number of non-financial users. The other systems we looked at offered extensions to a financial platform, but PROACTIS was designed specifically to streamline purchasing and manage expenditure before it occurs, so it was the obvious choice.”

In addition to being used by large educational organisations, such as Universities and Colleges, the advantages of PROACTIS technology is being extended down to schools in many areas too. Local Authorities like the Scottish Borders Council and Denbighshire County Borough Council are among the first in the UK to offer use of their PROACTIS eProcurement platform to schools, offering them the opportunity to purchase goods and services from central Council catalogues, at a reduced price, and streamlining the invoice process for them.

Arwel Staples, Head of Procurement at Denbighshire CBC explains why schools in his area initiative forms an important part of his Authority’s eProcurement strategy: “As a large Local Authority the benefits of eProcurement are obvious, but the opportunity to extend these benefits to our local schools is an exciting development. Using our PROACTIS platform, schools will be able to benefit from centrally negotiated contract prices, and have the administrative burden that comes with buying goods and services removed from their daily work.”
