Part of the Mace Group, Macro is a facilities management provider; including consultancy, help desk, managed services, technical services and owner association management; working in 26 countries.
With an ageing purchase order solution built in-house in Excel, Macro recognised they needed a more sophisticated system that would meet their increasingly complex business requirements and would integrate seamlessly to their CODA-Dream finance system, which was due to be upgraded.
Having looked at the market, Macro selected PROACTIS who has a strong history of integrating to Unit4 systems, including CODA. Chris Bampton, Finance Director at Macro, said “The PROACTIS solution will support our immediate business requirements, which includes complexities around an international roll-out, as well as our wider long-term aspirations. We very much see PROACTIS as not only our eProcurement provider but a Spend Control partner that we can work with for years to come.”
Rod Jones, CEO at PROACTIS said “We are delighted to welcome Macro as a customer. PROACTIS solutions are built for organisation-wide deployment within diverse organisational structures, and include all the multi-organisational, multi-language, and multi-currency capabilities such environments require.”
PROACTIS Purchase-to-Pay manages the complete buying cycle from expression of need to approval of payment in a consistent and fully transparent process. Macro has initially rolled-out PROACTIS Purchase-to-Pay, on a 3-year hosted subscription, to 250 users managing spend across hundreds of client sites in 20 countries including UK and Europe (Austria, Belgium, Czech Republic, Denmark, France, Germany, Greece, Ireland, Italy, Luxembourg, Netherlands, Portugal, Spain, Sweden and Switzerland) plus North America (US, Canada and Barbados) and India.
“As a facilities management provider, we need to ensure we’re managing our clients’ requirements in a transparent manner and driving best value on their behalf” said Bampton. “PROACTIS, with the integration to CODA-Dream, has given us much greater control and visibility over the purchase-to-pay process; from the workflow used to authorise purchases, to how invoices are processed and discrepancies are managed.”
With phase 1 completed in an impressive ten weeks, Macro are now looking to phase 2 which will include implementing budget checking, reporting and dashboards, and mobile apps.
In phase 3, Macro will look at PROACTIS Source-to-Contract solutions
to improve their procurement processes upstream – including the on-boarding and management of suppliers, how they go-to-market and manage sourcing events, and the monitoring of spend against contracts.
