Denbighshire County Council Goes Live With Hybrid Invoice Processing Service from PROACTIS

PROACTIS, a global Spend Control and eProcurement solution provider, today announced that existing Purchase-to-Pay customer Denbighshire County Council has implemented the invoice processing managed service from Intelligent Capture, a PROACTIS company.
Denbighshire County Council has a clear objective to improve operational efficiencies while driving down costs within Accounts Payable. The acquisition of Intelligent Capture by PROACTIS provided the council with a low-risk AP automation solution that the organisation was quick to adopt. In addition to the immediate cost savings and efficiency improvements that would be realised from paper scanning and the import of PDF invoices, the strategy of PROACTIS Group delivers continuous improvements in the way of the supplier network and accelerated payments facility.
 
The council has implemented a hybrid approach to invoice processing, with paper invoices being scanned by the council and the resultant electronic images being uploaded to the PROACTIS managed service. Once uploaded, the relevant invoice information will be extracted and cleansed for accuracy, any information not automatically located will be resolved by a clerk of the service. The same managed service process will take place for imported PDF invoices that are received by email and a dedicated query desk process is provided that will allow the council to resolve invoices with queries around data that is missing or invalid, including the ability to easily engage the supplier into the process.
 
“The service caters for our needs precisely and we are already starting to see the benefits. We wanted to retain control of purchase invoices while eliminating what we saw as processes that added no value such as invoice entry, we also saw the ability to electronically resolve and drive out the invoice exceptions as pivotal” commented Rhys Lloyd Jones, Financial Systems Manager at Denbighshire County Council. “The service adopted has two enormous benefits for the council; the first is that it drives the efficiency and cost reduction agenda; the second is that it opens the door to aspects such as the supplier network and accelerated payments once we have realised the benefits of the first step.”
